Embassy Appointment Guide: Booking, Rescheduling and What to Bring

Before choosing the earliest appointment on a calendar, check what that appointment is actually for. A consular interview, a fingerprint appointment and a passport-collection visit are different services. Booking one does not necessarily complete the others, and the building you need may be a visa application centre rather than an embassy.

This embassy appointment guide helps visitor-visa applicants organise the booking itself: selecting an authorised location, matching the reservation to the application, dealing with unavailable dates and preparing for the visit. U.S., UK and Canadian examples show why one country’s booking instructions cannot simply be reused for another.

Guidance checked September 17, 2026. Use your destination’s current official instructions and the confirmation issued for your own appointment. This guide does not reserve appointments, offer access to hidden slots or guarantee a visa decision.

Define the appointment before opening a calendar

Appointment type Purpose What to confirm
Visa interview A consular officer assesses the application The correct visa category, processing post and interview instructions
Biometrics visit Collection of fingerprints and a photograph where required The instruction letter, collection location and deadline
Document submission or scanning Providing materials through the authorised process Whether this is combined with another appointment
Passport collection Receiving a document after the relevant processing stage Collection authority, identification and notification requirements

If your application involves two appointments, record each separately. Do not assume the same address or date applies to both. A reservation for document handling should not be described as an interview unless your instructions actually say so.

Choose an authorised location you are eligible to use

Start at the government or embassy website and follow its booking link. Some official processes use external service providers, so a different domain is not automatically fraudulent. What matters is whether the responsible authority directs applicants to that provider for that location and service.

For U.S. nonimmigrant visa interviews, the State Department’s current guidance on nationality and residence says applicants should schedule in their country of nationality or residence. If applying on the basis of residence, they must demonstrate it. Where routine operations are unavailable, designated processing-post arrangements apply, subject to the stated exceptions.

Do not move a U.S. application to another country solely because its calendar looks faster. The same guidance warns of longer waits and non-refundable, non-transferable fees for applications outside the relevant nationality, residence or designated-post arrangements.

For UK applications outside the UK, GOV.UK’s “Find a visa application centre” service identifies locations and contact details. You must apply for the visa before booking the centre appointment. If another country is involved, separately check whether you can lawfully travel there and return to your place of residence.

Create one accurate booking record

Use a private note or spreadsheet to record the applicant’s name, application reference, appointment category, location and booking-account email. Add the final confirmed date, local time and address once reserved. Keep login credentials in a password manager rather than in a shared planning sheet.

Compare the identity details with the passport and submitted application before confirming. Check dates carefully when a calendar uses an unfamiliar day-month order. For family bookings, confirm which people are actually included; a lead applicant’s reservation should not be assumed to cover everyone.

For a U.S. visitor application, the official sequence includes completing the DS-160 and retaining its confirmation page. Local embassy instructions determine how fee payment and interview scheduling fit together. Use the required application reference, not an unrelated payment or courier number.

A completed payment is not, by itself, an appointment confirmation. Save the actual reservation and verify that the account shows the visit as booked. If you used an authorised representative, request a copy of the confirmation and establish who will receive change notifications.

Follow the right trigger for biometrics

Canadian biometrics provide an important example. IRCC’s official collection-location instructions say to book after receiving the biometric instruction letter, or BIL. Booking the appointment is free; do not pay someone for access to a biometrics slot. This does not mean the separate government biometrics fee is waived.

IRCC normally gives 30 days from receipt of the BIL to provide biometrics. Read your letter’s important-information section. If you cannot attend within the allowed period, explain the situation through IRCC’s web form before the letter expires, providing relevant evidence such as the appointment confirmation.

For a UK Standard Visitor application, the visa application centre visit is part of the online application process. It involves identity verification, biometrics and required supporting documents. A biometrics appointment should not be treated as a guaranteed same-day visa decision.

No suitable dates? Separate the problem from the solution

The calendar has no available slot

Check that you selected the correct location and service, then read the booking provider’s instructions about availability. Save a dated screenshot if an approaching application deadline makes the problem important. Avoid interpreting an empty calendar as proof that the embassy has stopped accepting every kind of application.

The U.S. Department of State says additional interview slots are released regularly. Its Global Visa Wait Times page gives estimates, not a guaranteed appointment date. Applicants with an existing reservation may check the scheduling system and move to an earlier available slot under the relevant post’s instructions.

You need to change an existing reservation

Read the rescheduling and cancellation terms before selecting either option. Check whether changes affect another linked appointment, other family members or a payment’s usability. Do not assume a cancelled slot can be recovered.

After making a permitted change, save the replacement confirmation and compare its date, time and location with your old travel plan. Keep the old record marked as superseded so it is not accidentally presented at the wrong visit.

Your circumstances are urgent

Use the official emergency or expedited-request route where one exists, and explain the real circumstances with the evidence requested. Eligibility and availability vary. Do not invent medical or family emergencies, and do not assume a commercial seller can approve an official request.

If an optional faster service is offered through an authorised system, read what it actually accelerates. An earlier appointment and a faster decision are different services. Neither means that the application has met the visa requirements.

Pack for the visit, not for every possible scenario

Keep the required items easy to retrieve. Begin with the appointment confirmation, passport or accepted travel document, and the application-specific letter or confirmation. Add only the originals, copies, photographs and supporting evidence called for by the relevant instructions.

  • U.S. visitor interview: check the DS-160 confirmation, passport, payment receipt where advance payment is required, and a printed photograph if the digital upload failed. Review any additional local requirements.
  • Canadian biometrics: IRCC’s preparation guidance calls for the BIL and a valid passport. Use the BIL for your current application, and follow the stated document exceptions if they apply. Review its instructions for preparing your hands and face for collection.
  • UK visa application centre: take the identity document and evidence required by your application, and verify whether supporting files should be uploaded beforehand or handled through an available scanning service.

Keep an accessible backup of your confirmation, but check whether a printed copy is required. Do not rely on a phone being permitted inside or on mobile internet working at the entrance.

Make an arrival plan the day before

Confirm the exact entrance, the location’s time zone and any arrival-window instructions. Plan a transport buffer without assuming that arriving hours early gains priority. Check local closure notices and messages sent to the booking email.

Read the location’s security rules about bags, electronics and accompanying people. Ask in advance about accessibility arrangements, interpreters or a child’s accompanying adult when needed. Do not assume luggage storage is available or that another country’s security policy applies.

Carry documents in an organised folder and avoid handing them to people outside the authorised premises who offer to “fix” your booking. If something seems wrong, use the contact information from the official confirmation or government-linked provider.

Leave with clear instructions about what happens next

Before leaving, make sure you understand any document-return arrangements, further request or follow-up instruction given to you. Preserve receipts and attendance records. If you miss the appointment, use the official missed-appointment procedure rather than creating another identity or duplicate booking account.

A successful appointment plan gets the correct applicant to the correct service with the right records. The visa outcome remains a separate matter. Follow the written instructions you receive instead of treating attendance, a collected passport or a completed fingerprint scan as approval.
